Summary:

As an Office Administrator, you will be responsible for providing administrative support to the company's drug development and daily business operations. Working closely with the Operation Department head and other senior management team members, you will coordinate several diverse tasks/projects simultaneously and have significant responsibility for key processes. This role is an excellent opportunity for an exceptionally organized, motivated administrative professional who enjoys working in a fun, fast-paced, research organizational environment. You will have the chance to broaden your experience with the operational needs of a pre-revenue biotech startup.

Essential Duties and Responsibilities: 

• Manage and maintain schedules and appointments for the Head of Accounting & Business Operations and other senior management team members to ensure upcoming commitments and responsibilities are well-organized and communicated.
• Coordinate with department heads and other involved parties to assist the Operations Head’s work, ensuring effective communication and collaboration.
• Handle incoming and outgoing communications in a timely and professional manner.
• Assist in the preparation of paperwork, including reports and other materials.
• Schedule meetings and organize company-level events.
• Register for professional conferences and make travel arrangements for team members.
  
• Assist the supply chain specialist in receiving and routing all inbound deliveries of packages.
• Assist the laboratory facility repair and maintenance.
• Archive the job candidate resumes into the designed folders.
• Perform additional responsibilities as assigned.

Education/Experience

• Highly professional, extremely proactive, and self-motivated, with strong verbal and written communication skills, and a positive attitude.

• Ability to work independently and collaboratively, with excellent business judgment, strategic thinking, and a solution-oriented approach.
• Exceptional organizational skills and impeccable attention to detail.
• Able to maintain high integrity and discretion in handling confidential information.
• Ability to switch gears quickly and seamlessly.
  
• Proficient in MS Office (especially Outlook, PowerPoint, Word, and Excel), Zoom, MS Teams, DocuSign, and cloud-based storage programs.
• 5+ years of executive administrative experience supporting senior-level management is required.
• College degree strongly preferred, but willing to substitute applicable and equivalent experience in lieu of degree.

Preferred Qualifications:

• Bachelor’s degree.
• Biotech/pharma experience preferred.
